What personal information we collect

  • 1.1Account and contact information — full name, email address, phone number, date of birth, physical address, profile photo (optional), and emergency contact details.
  • 1.2Firearms licence information (Members) — firearms licence number, expiry date, licence category, and a photo or scan of your licence. This is collected only from Members who indicate they intend to hunt with a firearm.
  • 1.3Property information (Hosts) — property name, address, coordinates, description, photos, hunting zones, hazards, Farm Rules, bank account details for payouts, and business or entity details where you list on behalf of a company, trust, or other entity.
  • 1.4Payment information — payment card details (processed by our payment provider, Stripe; Huntable does not store full card numbers), transaction and booking history, and GST number where applicable.
  • 1.5Communications and content — messages between Members and Hosts on the platform, messages with our support team, reviews, ratings, and photos or other content you upload.
  • 1.6Location and activity data — booking dates and property locations, check-in and departure messages, take and reporting data, and interactions with the property map.
  • 1.7Technical and device information — IP address, device type, operating system, browser type, log data (pages accessed, times, actions taken), and cookies and similar tracking technologies.
  • 1.8Marketing preferences and interactions — your preferences for receiving marketing communications, and your interactions with our marketing emails, advertisements, and campaigns.
2

How we collect your information

  • 2.1Directly from you — when you create an account, list a property, make a booking, contact us, or otherwise use the platform.
  • 2.2Automatically — when you access or use the platform, we collect technical and device information as described in clause 1.7.
  • 2.3From third parties — including our payment provider Stripe (for transaction records), identity and licence verification providers, and analytics and advertising partners (see clause 10).
3

Why we collect it and how we use it

  • 3.1Providing the platform — creating and managing your account; verifying your identity and firearms licence where required; enabling bookings, communication, and payments between Members and Hosts; providing customer support; handling disputes; and enforcing our Member Terms & Conditions, Host Terms & Conditions, Booking Terms, and Refund Policy.
  • 3.2Safety and legal compliance — verifying firearms licences before bookings involving firearms; investigating incidents, complaints, and breaches; complying with legal obligations including responses to lawful requests from law enforcement (such as New Zealand Police) or regulators; and protecting the safety of Members, Hosts, and the public.
  • 3.3Improving the platform — analysing how the platform is used, testing and improving features, and preventing or detecting fraud, abuse, or misuse.
  • 3.4Marketing and communications — sending you transactional communications (booking confirmations, receipts, reminders, safety notifications); sending you marketing communications about Huntable and related content where you have opted in; and delivering advertising to you on other platforms (including social media) based on your interests, using third-party pixels and analytics.

Who we share your information with

We share your personal information only where necessary, and never sell it.

  • 4.1Other users of the platform — Hosts receive limited Member information necessary to prepare for a booking (name, contact details, party composition, and firearms licence status where relevant). Members receive limited Host information necessary for the booking (property details, contact details, and Farm Rules).
  • 4.2Service providers — including Stripe (for processing payments, refunds, and payouts, in accordance with Stripe's own privacy policy at stripe.com/privacy); cloud infrastructure providers (for hosting the platform and storing data — see clause 5); communications providers (for sending emails and text messages); identity and licence verification providers; and analytics and advertising partners such as Google and Meta (see clauses 4.3 and 10).
  • 4.3Advertising partners — we work with advertising platforms including Google, Meta (Facebook and Instagram), and similar providers to deliver advertising to you and to measure the performance of our marketing. These platforms may combine data we share with them with data they hold about you. We do not share your firearms licence details or payment card information with advertising partners.
  • 4.4Regulators and law enforcement — including New Zealand Police or other law enforcement agencies where we are required to disclose information by law (for example, in relation to firearms offences, safety incidents, or lawful investigations); and regulators such as the Office of the Privacy Commissioner or the Commerce Commission where required.
  • 4.5Professional advisors — including lawyers, accountants, and insurers, on a confidential basis, where necessary to run our business.
  • 4.6Business transfers — if Huntable is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction, subject to protections consistent with this Policy.
5

Overseas storage and cross-border disclosure

  • 5.1We store personal information on servers located in New Zealand and Australia.
  • 5.2
    Some of our service providers are based overseas and may process your personal information in other countries:
    • (a)Stripe processes payment information in the United States and other jurisdictions where it operates;
    • (b)analytics and advertising providers (such as Google and Meta) process data in the United States and other regions; and
    • (c)other service providers may process limited information in Australia, the United States, or elsewhere depending on the service.
  • 5.3Where personal information is disclosed to an overseas recipient, we take reasonable steps to ensure the recipient is subject to comparable privacy protections to those in the New Zealand Privacy Act 2020, or we obtain your authorisation to make the disclosure.
  • 5.4Australia provides comparable privacy protections through the Privacy Act 1988 (Cth). The United States does not have a single overarching privacy law comparable to the Privacy Act 2020; we require service providers processing data in the United States to contractually commit to appropriate protections.
6

How we protect your information

  • 6.1
    We take reasonable steps to protect your personal information from loss, misuse, unauthorised access, alteration, and disclosure. Our security measures include:
    • (a)encryption in transit (HTTPS/TLS) and at rest;
    • (b)access controls limiting who within Huntable can see personal information;
    • (c)regular security reviews, monitoring, and testing;
    • (d)vetting of service providers who process personal information on our behalf; and
    • (e)staff training on privacy and security.
  • 6.2Firearms licence information is treated with additional care and is accessible only to Huntable staff and verification providers who need it for verification, safety, or lawful enforcement purposes.
  • 6.3No system is completely secure. If we become aware of a security incident affecting your personal information, we will respond in accordance with clause 12 (If a privacy breach occurs).
7

How long we keep your information

  • 7.1We keep your personal information for as long as necessary to provide the platform, meet our legal, tax, and accounting obligations, resolve disputes, and enforce our Terms.
  • 7.2When your account is closed, we retain most personal information for a limited period (usually 7 years for tax and audit purposes), then delete it or de-identify it. Some information may be retained for longer where required by law, for legitimate business reasons, or where litigation or an investigation is likely.
  • 7.3Firearms licence records are retained for the period required to verify bookings and to respond to lawful requests from authorities, and are then deleted in accordance with clause 7.2.
8

Your rights and choices

Under the Privacy Act 2020, you have the following rights:

  • 8.1Access — you can ask us for a copy of the personal information we hold about you. We will respond within 20 working days.
  • 8.2Correction — if you believe the information we hold about you is inaccurate or incomplete, you can ask us to correct it. Where we do not agree to make a correction, we will attach a statement of the correction you sought.
  • 8.3Deletion and account closure — you can close your account at any time through your account settings. We may retain some information after closure as described in clause 7.
  • 8.4Withdrawing consent — where we rely on your consent to process personal information (such as for marketing communications), you can withdraw that consent at any time.
  • 8.5Complaints — if you are not satisfied with how we have handled your personal information, you can complain to Huntable at privacy@huntable.app (we will respond within 20 working days). If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
9

Members under 16

  • 9.1Members must be at least 16 years old to hold a Huntable account. If we become aware that we hold personal information about a person under 16 who is not authorised to hold an account, we will delete it as soon as practicable.
  • 9.2Where a Member declares accompanying children under 16 as part of a booking, we collect only the limited information required for safety and party composition purposes (such as the number of children).
10

Cookies, analytics, and advertising

  • 10.1We use cookies and similar technologies to make the platform work, understand how it is used, and deliver relevant advertising.
  • 10.2Essential cookies are required to make the platform function — for example, keeping you logged in and remembering your booking details. These cannot be disabled without breaking core functionality.
  • 10.3Analytics cookies help us understand how the platform is used so we can improve it. We use analytics providers such as Google Analytics.
  • 10.4Advertising and third-party pixels — we use third-party pixels (such as the Meta Pixel, Google Ads pixels, and similar) to display advertising to you on other platforms based on your interests and activity. This is sometimes called "retargeting" or "interest-based advertising".
  • 10.5You can manage your cookie preferences through the settings on our platform. You can also manage advertising preferences directly with Google (adssettings.google.com), Meta (facebook.com/adpreferences), and other providers.
11

Marketing communications

  • 11.1We may send you marketing communications about Huntable, our features, and related content by email and other channels, where you have opted in or where otherwise permitted by law.
  • 11.2
    You can opt out of marketing communications at any time by:
    • (a)clicking the "unsubscribe" link in any marketing email;
    • (b)adjusting your notification preferences in your account settings; or
    • (c)emailing privacy@huntable.app.
  • 11.3Opting out of marketing does not affect transactional communications (such as booking confirmations, receipts, safety notifications, and legal notices), which you will continue to receive while you have an active account.
12

If a privacy breach occurs

  • 12.1
    If a privacy breach has caused or is likely to cause serious harm to affected individuals, we will:
    • (a)notify the Office of the Privacy Commissioner as soon as practicable; and
    • (b)notify affected individuals as soon as practicable, unless an exception under the Privacy Act 2020 applies.
  • 12.2We take privacy incidents seriously and maintain processes to detect, respond to, and learn from them.
13

Changes to this Policy

  • 13.1We may update this Policy from time to time to reflect changes in our practices, technology, legal obligations, or for other reasons.
  • 13.2Where changes are material, we will give reasonable notice through the platform or by email. The "Last updated" date at the top of this Policy indicates when it was last changed.
